{Wedding Organization — How to Remain Organized While Planning the Wedding of Your Dreams}

Now that you’re engaged, you’re likely asking where you should begin. It is likely that you have thoughts constantly fluttering through your mind. What should you do with all of your ideas though? With all of your thoughts and inspiration, you will need a way to remain organized, during the months of planning your wedding. I suggest the following tips and suggestions along with recommendations of what you may wish to invest in.

1. Invest in a Calendar/Day Planner
Throughout your months of planning, you will have many appointments and tasks to keep track of; you will want to keep everything in one primary place. I know that we are living in a modern world filled with technology, a world where the iPhone calendar has replaced the one that sits on your desk; however, I still find significance in tangible text. My personal favourite planner is the Moleskine Daily Planner; there is adequate space to write in and I particularly enjoy the aesthetics of the book.

2. Invest in a Notebook 
Those who know me know that I often scribble down notes as soon as a thought comes to mind. Brides, keep a notebook in your purse for you never know when you will stumble upon inspiration for your wedding.

3. Invest in a Binder
File everything together in one place; your notes, your contracts, your inspiration.

4. Create a planning timeline
Certain elements of the wedding planning process must be completed by particular dates, so ensure that you have these marked in your calendar/day planner. Even though there are things that can wait to decide upon until closer to the wedding, you can always get a head start; at least begin with the process of thinking about the entire wedding as a whole.

5. Delegate and share responsibilities
Ensure that all of the individuals who are responsible for a particular element of the wedding know exactly what their tasks are and when they should complete these responsibilities. The couple should be equally involved and responsible for the decisions made for the wedding.

{Hiring a Wedding Planner vs DIY}

There can be many benefits to hiring a professional wedding planner; however, I will be the first to admit that a planner is not a necessity, it is a luxury. I dislike using the phrase “budget wedding” because as we have discussed in recent weeks, determining a budget, whether high or low is a requisite in the early stages of planning your wedding.

So, is hiring a wedding planner right for you? With your prior knowledge of the benefits of hiring a professional coordinator—from your visits to the blog(s) in the last few weeks—I am sure you will have begun to come to a decision. Here, we will discuss a few more things that you should consider before deciding for or against a planner.

Planning the Wedding

If it is not within your budget to hire a full service coordinator, plan a DIY wedding, but reserve a few hourly consultations or a Wedding Month Management service with a professional wedding planner. 

An obvious concern when considering the commissioning of a wedding planner is obviously the cost associated with it. After all, it is roughly an investment of anywhere from 10-20+% of your wedding budget. As I said last week, even if a wedding planner’s full service is not attainable within your budget, it may be advisable to meet with a professional planner for a few hourly consultation services. This is your most cost effective wedding planner option and will provide you with the time to discuss any wedding details that you may be concerned with.

What a Professional Wedding Planner Can Do For YOU
1. Save you time

Did you know that the average bride spends 250+ hours planning her wedding? Who has that kind of time? A wedding planner has done this before, so will be a great asset in ensuring that none of the details are overlooked.
2. Save you money
A wedding planner either has strategic ways of saving you money, receives exclusive industry discounts, or knows of the best businesses to take you to for the best prices — of course, without compromising quality.
3. Alleviate unnecessary stress

Designing the Wedding
Most often when people think of “planner versus DIY,” they would think of the aesthetic quality, not the actual planning. With the recent popularity of wedding blogs such as Style Me Pretty, we see that there is a fascination with the DIY aesthetic. When we look at these published weddings though, we must understand that these weddings have all been well thought out and strategically planned. The shabby chic DIY look is not by chance, it is well designed. I often say that when you design your wedding with a DIY approach, you can often spend much more, whether in finances or in time, so you must take all implications into consideration. A DIY style wedding designed by a professional designer often looks greatly different than one designed by a typical bride-to-be; it seems that there is something less DIY and more composed.

Aliya & Andrew are the grand prize winner from our Engagement Photo contest!  They worked very hard to win the contest and we want to thank all of their family and friends who supported them.  They are a very sweet couple and laughed a lot together. {Ask the Wedding Planner — A Q&A with High Culture}

Oh my goodness! I apologize for neglecting to post on Wednesday; it was my birthday, so I tried to stay out of the office and did not realize that I had forgotten to queue the post. Nonetheless, I am quite excited for this week’s post as the topic of discussion is “ask the wedding planner.” As you will tell by the lengthy answers throughout this post, I am quite passionate about wedding planning, to say the least!

What are the different levels of service that planners offer and what are the costs associated with these services?
Well, it depends on the scope of the service. Most planners, such as myself, offer the following basic services: planning and design, wedding month management, and hourly consultations. Once we know exactly what our client requires, we are able to provide them with the best possible service to suit their needs.

In Edmonton, the cost for full planning and design starts at an average of $3,000+. From there, you must take into consideration the size of your wedding, the amount of work that your wedding will require, and your total wedding budget. For example, a wedding with a budget of $100,000 will require greater time from your wedding planner than one with a budget of $20,000; therefore, the cost associated with the planner will be adjusted accordingly.

Wedding Month Management is sometimes referred to as “Day of Coordination,” by brides. This is misleading because it’s not truly a day of service. Although I’ve been in a situation where I have entered into a wedding the actual day of the event, the service is typically much greater than this. Professional planners who offer Wedding Month Management services will typically commence their contract with a couple 4-6 weeks prior to the wedding. From here, we review contracts and ensure that nothing has been missed. It is our responsibility to work with you in tying the loose ends together and to coordinate the day of schedules. This service starts at an average of about $1,200-$1,500.

Many planners also offer consultation services based on an hourly rate of anywhere from $125-$150/hour. At these consultations we discuss a huge scope of items that the client may require assistance with. If you aren’t sure if a wedding planner is something that you wish to invest in, but do have questions, it is definitely advisable to reserve a few hours of consultations with a professional planner.

Some planners charge a percentage, can that make them more likely to want to book the most expensive things for their clients?
I cannot speak for all planners, but I would hope that the answer is no. As a wedding planner, I take into consideration the following factors before proposing anything to my clients:
1. Their budget — as per last week’s post, determining a budget from the very beginning is crucial, in order to have a smooth wedding planning process.
2. What will best suit my client — their style and their vision.
Through considering their wishes and their budget, while also being realistic, we are often able to propose unique ideas or suitable vendors so that they can have a special wedding that best represents them as a couple.

What can a planner do to save time and money for the wedding?
Well, experienced wedding planners have had their turn at planning a wedding numerous times, so we already know many answers to your wedding planning questions; those that we don’t know, we’ll find answers to. The average bride spends 200+ hours planning her wedding — who has that kind of time? Having a professional wedding planner to assist you will save you from unnecessary stress. A wedding planner becomes a filter and will only show you the best possible options to suit your requests, unlike Google. With regard to saving money, sometimes we receive special industry discounts with businesses whom we work with regularly, or we know where to send you for the best price, of course without compromising quality.

If a bride has already chosen some of the details for her wedding, for instance venue and photographer, how can a planner be helpful?
A professional wedding planner does so much more than proposing and reserving suitable vendors for your wedding. For example, a wedding planner is helpful in educating couples on wedding etiquette, timelines, and design. The scope of what we do varies from each wedding to the next as our services are particularly personal so that they best suit the needs of our clients. Some couples find the planning portion of some of the key areas easy because they have had their hearts set on a particular venue, or have fallen in love with a photographer’s work; others require a little more assistance. Some clients also want to explore and immerse themselves in the design aspect and often find themselves a little lost, so that’s where a designer becomes beneficial.

Do planners work exclusively with some vendors (ie. a bride books planner, do they have to get photographer A or B)?
To me, it isn’t a matter of exclusivity, but rather familiarity. I often work with a selection of the same floral designers, stationery providers, and cake artists, for example; however, it is not a matter of working with one specific vendor from each area. I have a preferred list of colleagues whom I am happy to refer my clients to because I have come to know the quality of service that will be provided.

Photography is honestly the most difficult area for me to determine a preferred list, because there are so many photographers in Edmonton. While the photography community is immense, there are truly so many talented photographers whom I have been thrilled to work with and still so many that I have not yet been so fortunate to. Photography is one of the trickiest parts because it is truly determined so heavily on a couples personal style. I always provide my clients with a list of approximately five different photographers whom I think will be most suitable for them — this list changes from each client to the next and is designed with careful attention to their requests, style, and budget.

It is important to consider if a wedding planner is truly suitable for you and your needs; as a wedding planner is not a necessity, it is a luxury.

Tips on finding the wedding planner that is best for you:
1. Determine a wedding style. Once you have an idea of what your style is, you will be able to find a wedding planner or designer with a style that best suits you.
2. Meet with the wedding planner for an initial consultation to see if this individual is the right fit. Because this is such a personal service, even if whomever you are meeting with is excellent at what they do, you must have a bond, a connection. This may not seem important, at first, but your wedding planner will be one of the people whom you speak with most throughout your planning process and will be at your side on your wedding day. You must find a level of comfort and trust in whomever you hire.

Cold: because it’s winter.  Hot: well, just look at them! Antonio proposed to Gennie in the winter, so they wanted their engagement photos to incorporate the snow.  This year we’ve been lucky enough to have a few days where it’s been warm AND snowy!  These two are so sweet together, and such a riot.  I can’t thank them enough for playing in the snow with me. We all had very cold hands at the end of the session, but it was worth it.

{Budget — Wedding Organization}

March is upon us and this month we will be talking about the crucial first steps to planning your wedding.

Couples often ask themselves how to best organize their wedding plans and I believe strongly that organization stems greatly from determining a budget from the very beginning. When I first sit down with couples and ask them if they have yet determined a budget, I often receive the answer of either “we don’t know” or “it doesn’t matter” — in reality, it does matter. Understandably, for many couples who have not experienced wedding planning to any capacity it will be hard to determine a number, but I stand by this: regardless of what the budget, high or low, you always have in mind how much you are realistically able and willing to spend on one day. After all, your wedding day is the first day of the rest of your lives and it shouldn’t put you into debt.

I like to follow a three step model, when helping my clients determine a budget.
1. What do you envision for your wedding day? Tell me about your dream wedding, share with me your inspiration photos.
2. Now, put value on it. How much money are you able and willing to invest in your wedding day?
3. Reevaluate. Your vision and your budget should compliment one another; if it doesn’t, something will have to change and you will need to adapt your vision (in most circumstances) to suit your budget.

To put things into perspective, the average Canadian wedding consists of approximately 140 guests and totals an average of $20,000-$30,000. This budget can often be slightly less or significantly more. I have worked with budgets starting near $20,000 and reaching $100,000+. It’s not about what the budget is and there is no such thing as a best place to utilize your budget, but rather how you use your budget to obtain the best value. This is a notion that I often share with my clients and was reaffirmed for me when I met Preston Bailey last October. I asked where best to allocate the finances within a budget and he replied that “there is no best place. You find out what is most important to them [the client] and you might want to spend most of the resources there.” It is crucial to think of all elements as one — each aspect of the wedding will greatly affect another — you have to make the best event possible that you can with your allocated budget.   I think that if you strictly adhere to the three step model above from the beginning, you will find success in maintaining your budget.

I hope the Poet Laureate from Mackenzie and Ian’s wedding appreciates my alliteration!  Many things made Mackenzie and Ian’s wedding special – in addition to a Poet Laureate who contributed a reading at the ceremony and a speech, the date was in honour of Mackenzie’s grandparents who celebrated their 66th wedding anniversary that weekend.

We love the rustic charm of Mackenzie and Ian’s wedding, and the subtle guinea fowl feather and polka dot theme. It was a beautifully planned and styled intimate wedding.  The beautiful florals are by Laurels on Whyte.

The ceremony at Grace United Church was very personal, and the very busy little ring bearer kept everyone entertained!

Mackenzie & Ian’s intimate reception at the Royal Mayfair Golf Club was incredibly fun.  Both families and friends delivered entertaining speeches,  and the mood was joyous and celebratory.  The couple reside in Halifax and many guests are from the East Coast, and the MC demonstrated the use of an authentic ‘Sou’wester’ (which this prairie girl had to look up – it’s a waterproof hat). Ian’s cousin made their beautiful wedding cake.

It snowed the entirety of Mackenzie and Ian’s wedding. It was beautiful, soft, and romantic, and I couldn’t help but steal them outside at the end of the reception for one last photo.

We’ve gotten to know Graham quite well over the last couple of years – he is a fantastic electrician who helped us to complete our studio and some other projects in our home.  He and his 16 foot ladder were a big hit with our son Andrew this fall.  When we met his fiancee Shannon we couldn’t have been happier for Graham.  They are such a cute couple!  They visited the studio for a session they wanted to use for their save the date cards. They wanted a fun passport photo look since they’re having a destination wedding!
